WHY host an Early Spring Membership Campaign?

  • Maximize communication with your target audiences
  • Renewals + new members give base for early voting of audit/budget at beginning of the year

WHO?

  • Current members & families
    • To renew or to join as a new member
    • Thank them for their past support and ask them to renew their membership
    • Reach out to them at events, email, messaging, social media, surveys, etc.
  • Reach out to incoming families:
    • kindergarten/middle school/junior high school/high school 
    • new families to area/school

Welcome & Introduction to PTA

  • Include information in school registration materials: 
  • your PTA, programs, events, 
  • resources, 
  • How to JOIN, how to volunteer, donate, etc. in 
  • Meet New Families, Answer ?s,  and share information 
  • WHERE: At PTA or school events, 
  • At new student registration events, 
  • Kindergarten or new student assessments, 
  • New student &/or family events, 
  • Summer playdates, 
  • Meet the Teacher Event 
  • Walk your Schedule events, etc.

    HOW:

    As a PTA Board:

    Have a discussion with your PTA board.  

    • Decide when your PTA will stop selling memberships for the current school year. 
    • Update records in Givebacks by registering and paying for any unpaid members for current year.

    Inform families, faculty/staff, etc. that you will not be accepting anymore memberships for the current school year.

    Local PTAs using Givebacks Membership Platform:

    Givebacks can enable pre-selling of 2025-2026 memberships beginning April 1.  

    1. Local PTAs that HAVE hosted an Early Spring Campaign in the recent past:
    • Your Givebacks system should already show the 2025-2026 option with the $1 increase.   NOTE: Update local PTA dues price if necessary.
    1. Local PTAs Hosting FIRST Early Spring Membership Campaign
    • Contact Giveback’s support presentative & ask them to enable pre-sales for the 2025-2026 school year* 

    Local PTAs using a different online membership platform:

    • Check with your online platform:
      • Inquire- can you host an Early Spring Membership Campaign?
      • When could you host an early spring Membership campaign?
      • any special suggestions

    How to Implement? 

    • Coordinate and plan campaign prior to implementation
    • Promote early membership campaign with current members & new potential members
    • Post early membership information, forms, online store links online/website/social media
    • Provide clear instructions/directions
    • Direct potential members to the 2025-2026 membership year in your membership store
    • Local PTAs can accept dues payments at time of purchase
    • Dues collected early shall be earmarked as membership holdover funds
    • Local PTAs must wait to submit early dues payment for 2025-2026 year until AFTER JULY 1st.

    Communication Recommendations:

    Before July 1st:

    Use your current membership list In Givebacks to send one final message to your current members: 

    • thank you for your support this year, 
    • ask for their continued support by renewal, 
    • directions to renew, share a link to membership 2025-2026 membership store, online forms

    Late Summer/Prior to start of school:

    For those who purchased early memberships:

    • Send thank you message for purchasing an early membership & reminder that they are already members for the year.
